What we collect
When an adult submits our interest form, we may collect the adult's name, email address, phone number, city, ZIP code, areas of interest, vehicle information, availability, and voluntary notes. We ask people not to submit a child's name, school, private contact information, medical information, or other sensitive details through the general interest form.
When someone submits a photo or media file, we collect the file, the adult submitter's contact information, a description or caption, and the consent confirmations associated with the submission.
How we use information
We use information to organize events, identify potential car owners, mentors, volunteers, sponsors, venues and community partners, understand community interests, respond to questions, improve outreach, and operate youth-safety and consent processes.
Youth privacy
Our website forms are intended for adults. A parent or legal guardian should make inquiries or submissions on behalf of a minor. We do not knowingly ask children under 13 to submit personal information directly through this website. If we learn that a child submitted personal information without appropriate parent or guardian involvement, we will take reasonable steps to remove it.
Photos and media
Photos submitted through the consent page are not automatically published. They are held for review. The submitter must confirm that they are authorized to provide the file and that required permission has been obtained for identifiable people, including parent or guardian permission for identifiable minors.
Sharing and sale of information
We do not sell personal information. We may use service providers that host the website, database, email or other operational systems, and we may disclose information when required by law or when reasonably necessary to protect participants, the organization, or others.
Retention and security
We retain information only as reasonably needed for program operations, recordkeeping, consent documentation, safety, and legal obligations. No online system can be guaranteed perfectly secure, but we use access controls and private infrastructure for stored submissions.
Your choices
You may ask us to correct or delete information you submitted, or ask us to stop contacting you, by emailing kidscarscoffee@gmail.com. Photo-consent withdrawal can affect future use; material already lawfully published or distributed may not always be practically retrievable.

We may update this policy as the program develops. The posted date above identifies the current version.
